How quotes work

A quote is a priced proposal for a job. It starts as a draft, you send it, and your client approves or declines it from their portal. Approved quotes convert straight into invoices, so the price you agreed on is the price you bill.

Create the quote

  1. Go to Quotes and click Create Quote.
  2. Pick the Client, and the project this quote belongs to if there is one.
  3. Give the quote a title, and set a Valid until date if the price has a shelf life.
  4. Add a short message to your client and any terms, then click Create quote.

OneTool numbers quotes for you automatically, starting at Q-000001.

Add line items

After you create the quote, OneTool opens it with your cursor already in the first line item.

  1. Describe the work in the first row, with a unit, a rate, and a quantity.
  2. Press Enter to start the next row. The subtotal updates as you go.
  3. Set a percentage or fixed discount and your tax rate in the footer below the grid.

Send it

  1. Open the quote and review the total.
  2. Open the menu in the quote header and click Send to Client. Your client gets an email with a link to the quote in their portal, where they can approve or decline it with a signature. (Mark as Sent just flips the status, so use it for quotes you delivered outside OneTool.)
